Introduction

Kiki is created by Wren Games Ltd. We help families organise school, club and life admin. We take your privacy seriously and use clear, plain English to explain how your information is used. This policy explains what we collect, why we collect it, how we keep it safe, and your rights.

Kiki is currently for adults aged 18 and over. Adults may add information about children they care for. Children cannot create accounts.

What data we collect

We only collect the information we need to run Kiki.

Information you give us

  • Your name and email address
  • Your year of birth (you confirm that you are 18 or over when creating an account)
  • Family member names added by you (including children’s names)
  • Schools, clubs and activities you choose to add
  • Calendar events you add or sync
  • Information you upload (such as appointment letters)
  • Emails from approved email senders you choose to connect
  • Your preferences and settings

We do not ask you to tell us your gender. However gender may be inferred from the family role you select (for example Mum or Dad).

Information we receive when you connect accounts

You may choose to connect:

  • your email account
  • your calendar

We only process emails from the senders you approve. We do not routinely access or read your entire inbox and only do so with your explicit permission for recent emails (typically a few weeks) to help identify relevant senders. We never access subject and/or message content during this process. You can revoke this access at any time.

When you connect your email:

  • We store approved emails for between 3-18 months depending on your subscription tier
  • We process emails and their attachments/links to extract relevant information
  • If you disconnect your email account, any emails unique to your family will be deleted
  • You can manage your email connections and data through your account settings or by contacting us at [email protected]

Automatically collected data

  • App usage data (for example actions taken in the app)
  • Device information (for example model and operating system)
  • Log and error information to help us fix issues

We use essential cookies to run Kiki and analytics cookies to improve the service. You can manage cookie preferences in your browser settings.

Children’s information

Adults may enter:

  • child names or nickname
  • school
  • class, house and year group (optional)
  • clubs and activities details (optional)

Children cannot create accounts and we never collect information directly from children.

Health-related information (special category data)

Some information you add may relate to health, such as:

  • sickness/medical absences
  • vaccination information (e.g. flu)
  • appointment letters
  • communications with the SENDCo

This is classified as special category data under GDPR. When you connect emails or upload documents, any health information they contain will be processed as part of the service. You can control what’s processed using keyword filters or by blocking specific senders.

We only use this information to help you organise your family life. We do not make any medical decisions or assessments.

How we use your information

We use your information to:

  • run the Kiki service
  • extract key dates and information from emails you approve
  • create summaries and reminders
  • generate family calendars
  • help you organise school, club and life admin
  • improve the app
  • send service messages
  • provide customer support

We will only send marketing messages if you give us permission.

We do not use automated decision-making or profiling that produces legal effects or significantly affects you.

Why we are allowed to use your information (lawful basis)

We use your information because:

  • it is necessary to provide the service you signed up for
  • you gave clear consent (for example uploading documents or approving email senders)
  • we have a legitimate interest in improving Kiki
  • we may need to meet legal or tax requirements

For health-related data, we rely on your explicit consent under GDPR Article 9 because you choose to upload or connect it.

Sharing your information

We share information only when necessary to run Kiki:

  • with cloud hosting providers (for data storage)
  • with AI providers (only for the specific emails or uploads you approve)
  • with payment processors (for subscriptions)
  • with analytics providers (to improve the service)
  • with family members you choose to share with inside your Kiki Family

We never sell, rent or trade your personal information to third parties for their marketing purposes.

Family sharing

If you join a Family:

  • the Primary Account Holder can delete the family account
  • family members with ‘Manager’ permissions can invite new members and control which email senders are authorised (currently all invited adults default to ‘Manager’ permissions)
  • information you add may be visible to other members of your Family
  • you can delete or remove your own content at any time

Wren Games Ltd remains the data controller for all personal information processed through Kiki. Family members have administrative control over Family settings but do not become data controllers.

You can leave a Family at any time. Your account stays active but shared family data may no longer be visible depending on Family settings.

AI processing

Kiki uses AI to:

  • extract dates
  • summarise messages
  • categorise information
  • highlight urgent items
  • suggest actions

AI does not make decisions about you. You can ask us to review AI-processed information at any time.

International transfers

Most data is stored in the UK or EU. Some temporary processing may take place outside the UK/EU, primarily in the United States (for certain AI providers). When this happens we use:

  • Standard Contractual Clauses
  • UK Addendum
  • Encryption
  • Data minimisation

Your rights

You have the right to:

  • access your information
  • correct inaccurate information
  • delete your information
  • export your data in a portable format
  • restrict how we process your data
  • object to processing based on legitimate interests (such as analytics)
  • withdraw consent for marketing emails

Data retention

We keep information only as long as necessary:

  • Active accounts: data is kept while your account is active
  • Deleted accounts: your personal information and content unique to you is deleted within 30 days
  • Approved emails: stored for 3-18 months depending on your subscription tier
  • Secure backups: data removed within 30 days
  • Legal records: financial and tax records kept for 6 years as required by law

We protect your information using:

  • encryption
  • access controls
  • secure servers
  • Cyber Essentials certified security practices

If there is a data breach that may affect you, we will let you know as required by law.

Third-party links

Kiki may contain links to other websites. We are not responsible for their privacy practices. Please review their privacy policies before sharing information with them.

Changes to this policy

We may update this policy. If we make important changes, we will tell you in the app or by email.
